Position Definition

Performs administrative support duties for the Department's Legal Services supervisor and attorneys; performs related work as required. Assists legal staff in carrying out their program responsibilities by monitoring deadlines, drafting documents and providing related support services.

Position Description

  • Performs varied complex office administrative tasks; relays complex and important instructions and messages.

  • Schedules and organizes work of Legal Services supervisor attorneys and monitors deadlines.

  • Types or directs the typing of a variety of materials, including court filings, memoranda, letters, and reports.

  • Organizes and maintains files and records of a confidential, complex, or otherwise sensitive nature.

  • Maintains inventory for assigned attorneys, monitoring deadlines and requirements.

  • Greets and screens visitors and callers, makes referrals to appropriate personnel or personally resolves the matter.

  • Provides detailed responses to information requests about programs and activities from readily available reference sources; composes correspondence in accordance with established policies.

  • Plans and maintains an adequate supply of office materials and supplies.

  • Reviews incoming mail and identifies correspondence of a controversial, sensitive, or critical nature and routes for immediate action.

  • Attends meetings and takes minutes; composes drafts of proceedings; prepares agenda in accordance with established practices and compiles materials in preparation thereof; conducts follow-up action independently.

  • Researches complaints and responds as appropriate.

  • Types and proofs documents for accuracy, grammar, spelling, and sentence structure; prepares final draft for distribution and/or mailing.

  • Creates and maintains all files including employee time, attendance, and performance records.

  • Relays specific instructions/messages and tracks assignments and follows up to ensure receipt of information required within established time frames.

  • Reviews and approves e-Leave and timesheets.

  • Schedules, arranges, and maintains meetings for the Legal Services supervisor and attorneys.

  • Maintains files, records, and researches information related to problems or issues and prepares findings.

  • Provides information on office policies and activities to the public and staff members on request; relays instructions and messages of superior; informs personnel of changes in office policies, procedures, or rules.

  • Makes travel arrangements.


930 Legal Secretary

6 months' experience, twelve semester hours, or a combination of both in the following:

A person who works in the legal profession whose expertise includes typing and filing of contracts, appeals, pleadings, or other legal documents.

Minimum Qualification Requirements

Two years of legal secretarial experience;


satisfactory completion of post high school course work in an accredited legal secretarial, or closely related curriculum plus one year of legal secretary experience;


one year experience in the Attorney General's Office as a Legal Secretary 1.
