Summary

The Department of Veterinary Clinical Sciences within the College of Veterinary Medicine at Iowa State University is seeking a part-time Administrative Assistant. If organization is your forte and you're eager to learn and take initiative, this position is tailor-made for you! Serving as backup support for others, you'll be instrumental in ensuring efficient administrative operations for the academic department and in conjunction with the Lloyd Veterinary Medical Center. Your contributions will be marked by sound judgment, a commitment to confidentiality, and excellent interpersonal and communication skills.

In this pivotal role, you'll provide high-level administrative support and oversee administrative functions. As an Administrative Assistant I, you'll leverage your expertise to provide administrative support to the department chair, faculty members, and students. Specific duties include but are not limited to general office management, coordinating departmental events, managing donation contributions, and managing various logistical aspects of the departments’ student support operations with an emphasis on preceptorship coordination.

The successful candidate will embody a service-oriented approach while maintaining professionalism and friendliness. You'll play a vital role in managing departmental records, calendars, and schedules. This position will serve as the department’s key, access, and voice coordinators and assist with on-boarding activities. Proficiency in the Microsoft Office suite (Excel, Outlook, Word) is essential, and experience with electronic folder and security management systems, such as CyBox or similar platforms, is beneficial. Willingness to learn the university’s Workday software and tools is also necessary.

Proposed schedule: M-F 8:00 am to 12:00 noon.

Example of Duties• Conducts basic research, gathers data, and prepares reports.• Arranges calls and schedules meetings.• Assists with making basic travel reservations and itineraries.• Participates in regularly scheduled team meetings.• Types correspondence, reports, or other documents.• Edits documents for grammar, spelling, and punctuation errors.Level Guidelines• Entry level position acquiring job skills and learning standard operating procedures and policies to complete tasks• Works under relatively close supervision and receives guidance on new work assignments• Works on assignments which are routine in nature requiring limited judgment• Refers difficult or less routine issues to supervisor or higher-level staff for assistance• May provide guidance to students
