Job Description

This position serves as the supervisor and leads, supervises and manages the Grounds and Facilities Team, Printing Center staff, Custodial Team and Mail Center. They are part of the leadership team within the Office of Support Services and will make sure their work unit aligns their work with the DOT's mission, vision and strategic plan. These service units are critical to supporting the operations and functions of all the employees at the Ames complex as well as throughout the state.

The employee is responsible for leading directing the work of the staff in the:

  • Grounds and Facilities Team and Custodial Staff in maintaining the grounds and office areas at the Iowa DOT Ames Complex.

  • Mail Center operations in processing incoming and outgoing USPS, UPS, and FedEx mailings.

  • Printing Center operations in the production of manuals, envelopes, brochures, signs, posters, forms, educational training materials, promotional materials, employee training materials and reports.

Typical Responsibilities:

  • Participates on a team that makes decisions that effectively balance ever changing needs, safety, cleanliness, facility needs, costs and long term maintenance.

  • Produces a wide variety of diverse printed materials for all work units following the Iowa DOT design guidance.

  • Coordinates service contracts with a wide variety of contractors/vendors for equipment and services and trouble shoots issues for satisfactory outcome.

  • Develops and executes plans with staff to maintain all grounds areas in Ames in a safe and esthetically pleasing manner through all seasons.

  • Develop plans to effectively and timely address office reorganization moves, assembly of office furniture and other maintenance and remodeling projects.

  • Assures all required tools, equipment and supplies are ordered in a timely manner and maintained as needed for successful daily work and special project completion.

  • Prepares regular communications for Ames complex employees to survey effectiveness of services as well as clearly communicate plans, work activities and levels of service while addressing any concerns and special requests.

  • Hire, train, schedule and evaluate a diverse team of employees assuring projects and work activities are accomplished on time and in a high quality manner.

  • Serve as a member of the Office of Support Services Leadership Team. Assist with office initiatives, performance measures, budget management, collecting data, Behavior Based Safety and Agency Strategic Plan.

  • Oversee budgets, purchases, invoice payments and payroll for all offices and employees

  • Assure Behavior Based Safety is followed, high customer service and manage data analytics for all operations.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

1) Graduation from high school (or GED equivalent) and experience equal to four years of full-time work experience in general office administrative support; specialized technical program support; or program administration, development, management, or operations.

2) All of the following (a, b, and c):

  • Graduation from high school (or GED equivalent); and

  • One year of full-time work experience in general office administrative support; technical program support; or program administration, development, management, or operations; and

  • A combination of a total of three years of education and full-time experience (as described in part b), where thirty semester hours of accredited college or university course work in a technical support area or in business or public administration equals one year of full-time experience. Graduation from the Iowa Certified Public Manager Program is also equivalent to one year of full-time experience or education.
