Great Prairie Area Education Agency has an opening for a Receptionist / Office Technology Support.

241-day contract (8-hour days).

Starting pay:$15.67-$16.17/hour with a generous paid leave package in addition to a monthly cafeteria plan allotment of $1,010 and IPERS retirement.

Position Overview:

This individual will manage the front desk operations with a strong emphasis on technology proficiency. The ideal candidate will possess excellent communication skills, be adept at troubleshooting various room technology needs, and have a keen eye for detail to ensure the smooth functioning of our office environment. The person selected for this position must possess public relations and diplomacy skills. They must be organized and knowledgeable of Area Education Agency matters. They must have a pleasant personality and a clear telephone voice and treat all information confidentially.

Essential Functions

  • Greet and welcome visitors with professionalism and a friendly demeanor.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate department or individual.
  • Assist in scheduling and coordinating meetings, conferences, and appointments.
  • Maintain a clean and organized reception area.
  • Support office tasks such as mail distribution, filing, and data entry.
  • Troubleshoot and assist with technology-related issues, including AV equipment, conference room setups, and office equipment.
  • Collaborate with IT support when necessary to resolve complex technical issues.
  • Stay updated on the latest office technologies and software to provide efficient solutions.
  • Monitor and maintain inventory of office supplies and equipment.
  • Handles all meeting room reservations and manages the Office Google Calendar and lobby display.
  • Performs clerical tasks for the Administration and, occasionally, for other Area Education Agency Service areas that can be handled without leaving the front desk.
  • Handles all reports, information, and messages with confidentiality.
  • Complete Purchase and Print Orders for Staff as directed by Administration
  • Assists in maintaining the website, agency directory, and social media to ensure accurate and up-to-date information.

Knowledge, Skills, and Abilities:

  • Familiarity with office equipment such as printers, scanners, and copiers.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented with a problem-solving mindset.
  • Experience with troubleshooting basic IT issues preferred.
  • Ability to learn new technologies quickly.
  • Professional appearance and behavior.
  • Ability to convey a positive and professional image to staff and public.

Physical Requirements:

  1. Normal, routine levels of bending, carrying, lifting, climbing, reaching, sitting, standing, and walking.
  2. Sufficient manual dexterity to be able to operate office equipment including, but not limited to, computers, fax machines, copy machines, telephones.
