JOB GOAL:

GENERAL JOB SUMMARY:
Under moderate to limited supervision provides exceptional customer service over multiple platforms, in a high traffic office setting. Persons in this position will work on a cross functional team that supports all aspects of the Continuing Education department. Become SME in division software and technology solutions, maintain data integrity through audits and compliance reporting and manage the division financial policies and practice insure accurate accounting practices.

DUTIES/RESPONSIBILITIES:
Manage all aspects of the Iowa Job Training Program (260F) and WTED Project
Review applications and provide feedback
Submit applications into online system once ready
Process contracts, award letters, request for release of funds from the State
Process reimbursements/IDT’s
Process and track performance reports
Update spreadsheets/database
Reconcile ending balance with report from Finance monthly
Track funding used for OE, send monthly report
Track expenses as billing is done or 3rd party expenses are submitted
Track company fund status against caps ($50k - $100k)
Process reports as requested for staff within the college and financial projections
Assist in the management of the Iowa New Jobs Training Program (260E)
Participate recruitment – Assist in developing and implementing strategies for recruiting participants into both programs, ensuring a diverse and inclusive participant pool
Training of program users – Assist in coordinating training sessions, workshops, seminars for program participants and ongoing training/support
Partnership Development – Cultivate and maintain partnerships with local businesses, educational institutions, government agencies, and other stakeholders to support program goals and objectives
Data management – collect, analyze, and report data on program outcomes and participant progress, using this information to inform program improvements and decision-making
Compliance – Ensure compliance with all relevant regulations, guidelines, and reporting requirements for both 260F and 260E.
Marketing and Outreach – Assist with the coordination of development of marketing materials and promotional strategies to raise awareness of both training programs and attract potential participants and stakeholders
Effectively communicate program application specific requirements to all interested patrons
Respond to (including, but not limited) to internal/external inquiries via phone/in-person/LiveChat
Collaborate with other departments within the division/college to adopt best practices and services to meet needs of learners, staff and community partners
Assist with the creation of billings related to sponsored class registrations
SME for software systems in order to create and maintain department records and reports
Administer financial processes/daily reconciliation/accounts receivables invoicing and payment processing
Facilitate research and lead new technology opportunities
Create and maintain project/process documentation
Perform other duties as assigned

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

MINIMUM QUALIFICATIONS:
Bachelor’s Degree or three years of relevant experience in economic development or sales
Must have proficient knowledge of Microsoft Office products
PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:
Prior working experience in program management
Experience in an educational or related setting
Knowledge of Salesforce
