Unit Description

Sodexo is seeking an Executive Assistant 1 to support a Universities Senior Vice President in a region covering the states of IL, MN, IA, MO and KS . This position will office at an account in one of the following Cities: Des Moines, IA; Minneapolis/St. Paul, MN, Kansas City, MO, St. Louis, MO or Chicago, IL.

Performs a wide range of administrative and general support duties of a highly responsible and confidential nature to a senior leader within a Segment. Work is generally varied and administrative or project oriented. Has a thorough knowledge of the principal's accountabilities and method of operation. Requires continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures, and personnel. Often responsible for interpreting internal policies and procedures. Work typically involves handling confidential and sensitive matters. Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work.

This position resides above-unit only. Supports RLC-1 level management or a group of individuals that includes at least one RLC-1 manager.

Are you the experienced Administrative Assistant we’re seeking?

We are looking for candidates who can:

  • Book and manage all aspects of travel to include flight, car and hotel

  • Manage RVP's calendar and maintain monthly DM travel calendar

  • Lead weekly conference call and schedule other miscellaneous calls

  • Balance and submit weekly expense reports

  • Consolidate weekly business financials and submit to corporate

  • Plan, design, assemble and distribute region quarterly newsletter

  • Arrange and coordinate meetings and events

  • Manage personnel/client spreadsheets by unit

  • Orchestration, distribution and filing of signed contracts

  • Develop and edit correspondence, communication and other documents

  • Effectively communicate with other Sodexo employees/clients as required in the daily execution of assigned duties

The ideal candidate will have/be:

  • fluent in Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint) and SharePoint;

  • detailed oriented, flexible, and have the ability to manage multiple priorities; and

  • excellent organization, communication and project management skills.

Qualifications & Requirements

Basic Education Requirement - Associate's Degree or equivalent experience
