PALMER UNIVERSITY CHIROPRACTIC Administrative Assistant to Student Administrative Services in Davenport, Iowa

The Administrative Assistant is responsible for providing general administrative and program support for the department, ensuring the staff and department has adequate support to run smoothly and efficiently.i This position will be responsible for ensuring compliance with financial and administrative requirements when providing information, recommendations, and/or direction as requested by the Senior Director, Registrar and/or other staff. Required skills include ability to perform assigned duties with frequent interruptions, strong communication skills, attention to detail, ability to multi-task, strong organizational skills, self-motivated and trustworthy with confidential data.iEssential Duties and Responsibilities:Perform general administrative and support functions for the student administrative services office which includes providing exceptional customer service when greeting visitors and staff.Receive and process all incoming state board licensing requests. Maintain communication with each state licensing office to maintain documentation for students and alumni and best assist them with state board licensure questions.Assist students with student billing questions; accept and process payments for student tuition accounts and other miscellaneous student fees.Maintain lost and found items by logging received documents, contacting owner, assisting students and employees with reporting of lost items.Process daily tuition and miscellaneous fee deposits.Receive and process enrollment and degree verifications and credentialing requests. Update enrollment data as necessary in the National Student Loan Clearinghouse website.Assist students and alumni with official name change process. Follow appropriate protocols for required legal documentation, process name change when received and notify appropriate college officials.Receive and process all transcript requests.Provide notary services to students, employees and alumni.Receive student request forms to include course, lab and elective registrations, section change requests, verification requests, intent to graduate forms, transcript requests and all other form requests.Coordinate student work-study proctor scheduling and timesheet submission.Manage student parking vehicle permit distribution and logs; Notify students of parking tickets and warnings, process payments as received.Assist the Associate Registrar and the Bookstore with graduation class gifts, tracking class member selection and payments.Coordinate Rosetta Stone language registrations, payments and program completion.Perform all responsibilities in a manner that fully complies with Palmeris Equal Employment Opportunity/Affirmative Action policy.Communicate and work with the departmental staff to ensure front desk and phone coverage is cared for and back-up is provided as/when needed.Maintain applicable policy and procedure manual.iOther Duties and ResponsibilitiesAssist with maintaining academic records including scanning, filing, and document destruction.Collect and distribute mail for the department.Perform other duties as assigned.QUALIFICATIONSMinimum Qualifications:High School diploma; Associates degree in Business Administration or related field preferred.Minimum of one year of clerical/office support experience.Experience answering multi-line phone systems, screening calls, and taking clear and concise phone messages.Experience using personal computers, various software programs including Microsoft Office Suite, and other general office equipment, including copy and fax machines.Regular and reliable attendance is required to meet the essential functions of this job.iDesired Qualifications:Basic level of finance/accounting knowledge and/or experience preferred.Notary Public a plus.iPhysical Requirements and Work Environment:Perform sedentary to light work in a ventilated, lighted, and temperature-controlled office setting. Occasional travel required.Frequent need to stand, stoop, walk, sit, lift light objects
