Job Title: Accounting AdministratorJob Description

We are seeking a dedicated Accounting Administrator to handle invoicing and payables responsibilities. This role involves coordination and management of vendor activities, drafting and tracking communications, and managing executive-level calendars and project deadlines. The ideal candidate will also excel in high-functioning research and creating invoicing templates.

Responsibilities

  • Handle invoicing and payables responsibilities.

  • Coordinate and manage vendor activities.

  • Take bullet points from oral meetings and communicate with donors, legislators, members, and board members.

  • Draft, track, and follow up on communications sent, including tracking and elevating critical communications.

  • Perform high-functioning research.

  • Create invoicing templates and templates for 1099 contractors.

  • Review grant accounting guidelines and restrictions, and present options with limited oversight.

  • Manage executive-level staff calendars and board schedules, including tracking deadlines and deliverables for projects.

  • Monitor and manage various mailboxes for correspondence.

Additional Skills & Qualifications

  • High School Diploma

  • 1-3 years of experience in invoicing, payables, administrative or office management

  • Experience with MS Office

  • Preferred experience with QuickBooks or Sage
