Job Description

The Iowa Department of Public Health (IDPH) and the Department of Human Services (DHS) merged on July 1, 2022, to form one agency: The Iowa Department of Health and Human Services (HHS).

HHS is seeking an Administrative Assistant 1 (AA1) to provide administrative assistance and related technical support to the Des Moines Eligibility Team Managers.

Summary

This is a full-time opportunity, Monday - Friday with work hours being from 8:00 AM- 4:30 PM.

Core Essential Functions

  • Assist management in the Des Moines Eligibility Team and the Public Service Supervisor to ensure various work assignments are completed in accordance with defined procedures and practices.

  • Provide lead work to support staff in the areas of technical processes, distribute and review work assignments of other support staff as directed; monitor service delivery outcomes and progress toward specific unit goals.

  • Act as resident expert for Customer Service units under Field Eligibility by responding to customers inquiries via email, phone or in person, providing necessary information and directing customers to appropriate resources.

  • Oversee and assist with the support and training of Customer Service units under Field Eligibility ensuring timely and accurate delivery of service to customers.

  • Compiling, preparing, and maintaining statistical information for supervisors, Income Maintenance Administrator, and other entities as requested.

  • Perform higher level administrative duties to assist Eligibility Team administrators and supervisors.

  • Perform routine office support duties such as: fax, scan, photocopy, send correspondence, assist with inventories and audits, and provide coverage of absent support staff as needed.

This position requires a highly motivated, organized individual with the ability to:

  • Effectively communicate in writing by using correct English grammar, punctuation, and spelling.

  • Comprehend and adhere to confidentiality and security provisions.

  • Navigate efficiently in a Windows environment and utilize Word, Excel and Outlook and other personal computer programs as necessary.

  • Produce work that requires extreme accuracy.

  • Prioritize tasks and time to meet established performance goals and critical deadlines.

  • Interact with employees and customers in a manner that is consistent with quality customer service delivery.

  • Work productively in a team environment.

  • Maintain high attendance and report to work on time.

  • Travel occasionally when it is necessary to cover absences/vacancies in other DMSA offices.

  • Other duties as assigned.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field.

  • A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant
