GENERAL SUMMARY:

Performs clerical functions and coordinates communications for Nursing Education. Facilitates the information exchange process between the nursing areas and other hospital departments.

ESSENTIAL FUNCTIONS:

· Makes necessary arrangements for meetings and attends and takes minutes, distributing meeting minutes and related material to appropriate individuals; may follow up on actions taken at meetings.

· Assists keeping Outlook calendar for Market/Administrative Directors.

· Responsible for processing various billing invoices for corporate credit card and relays information onto the Director for approval.

· Takes and screens telephone calls and provides information on behalf of the director; answers questions about assigned areas and refers calls to the appropriate person(s).

· Assists the Director in scheduling conferences/training and making arrangements for out-of-town travel; assists in processing travel claims for reimbursement.

· Answers telephone and refers callers to the appropriate person or takes messages.

· Processes incoming/outgoing mail.

· Submits requests to Print Shop for printing.

· Maintains and files records/reports as assigned.

· Transcribes Nursing policy, and other typing requests as assigned.

· Transcribes letters, memoranda, logs, and other documents.

· Assist with timecard process as needed.

· Assist department managers with publishing staff schedules.

· Track and assist reporting for state and regulatory requirements as needed.

· Operates office equipment and machines (i.e., personal computer, copy machine, fax,

calculator, telephone, etc.). Uses MS Outlook, Word, Excel, Access, and Publisher.

· Creates reports, charts, graphs, newsletters from data sources.

· Creates PowerPoint slides including objects, images and clip art.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

· High school diploma or GED required.

· Two years diversified clerical/typing and word processing experience, required.

· Word processing and spreadsheet experience preferred.

· Strong detail oriented skills, oral communication skills, organizational ability and ability to prioritize workload.
