Job Description

Join Iowa Workforce Development as an Administrative Assistant in our Workforce Services division, located at 1000 E Grand Ave., Des Moines, IA. This entry-level position will provide you with an exciting opportunity to enter state government and serve fellow Iowans.

Your Role as an Administrative Assistant

In this entry-level position with IWD, you’ll support the Work Opportunity Tax Credit (WOTC) program by communicating with program stakeholders; processing tax credit applications; tracking and reporting on workload; identifying opportunities for streamlining work processes, system settings, and configurations. In addition to your work on the WOTC program, you’ll provide administrative support to the Workforce Innovation and Opportunity Act (WIOA) Title II Adult Education program team by reviewing, processing, and validating financial reimbursement requests from program service providers; track program expenditures; serve as a point of contact for program stakeholders; and draft, review, and finalize documents and reports and then prepare them for final publication and distribution.

Your key responsibilities will include:

  • Processing tax credit applications via computer or hard copy and issuing decisions based on established policies and procedures.

  • Processing electronic financial documentation and update and maintain spreadsheets, records, and documents.

  • Monitor grant awardee progress to ensure program expenditures meet grant requirements and are within grant budgets.

  • Apply and interpret state and federal regulations, rules, and policies to ensure program compliance.

  • Use Microsoft Office at an intermediate level to produce high-quality program documents.

  • Serve as a main point of contact for program stakeholders.

  • Coordinate correspondence with program staff and stakeholders.

  • Develop and train others on work procedures, data tracking and reporting.

  • Collect data and prepare monthly, quarterly, and annual reporting on programs for agency leadership.

  • Other duties assigned.

Hours of Work: Monday – Friday 8:00am-4:30pm.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field.

  • A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant
