Job Summary:

The Faculty and Dean’s Office Services Coordinator is a critical member of the School of Education administrative team. This role provides direct administrative support to faculty, the dean, and associate dean.

In addition, this role also supports the development and management of various special projects, events, and conferences for the School of Education. This role will assist with additional school-wide priorities on an as needed basis.

Minimum Qualifications:

• Associates Degree

• High computer literacy and ability to master new computer programs and platforms

• Great communication and relationship-building skills

• Ability to meet deadlines, juggle competing priorities, and collaborate with others to accomplish tasks and make improvements

Preferred Qualifications:

• Bachelor's Degree.

• Experience working in higher education, education, or an office setting

Job Duties:

65% - Provide support for faculty and adjunct faculty, which includes but is not limited to: reminding and directing faculty in completing recurring tasks such as filing mid-term and final grades and validating student rosters; collecting syllabi for accreditation needs; supporting faculty and adjunct faculty in use of university-wide data and technology systems; assisting faculty with textbook orders and equipment requests; assisting faculty with adjunct scheduling and confirmation; maintaining records and files for accreditation and reporting purposes; assisting with administrative needs such as room scheduling, greeting, and directing foot traffic; providing administrative and instructional support for faculty (photocopying, scanning, document formatting and conversion, etc.); managing the inventory of office supplies, including purchasing office supplies, textbooks, and computer software; managing the curriculum library, including overseeing book circulation, researching new and diverse titles, and keeping the collection up to date. Perform other related administrative functions as specifically assigned. Support faculty with various projects, which may include special events, alumni outreach, marketing, program development, and research. Organize course evaluations. - (Essential)

20% - Function as a representative for and an assistant to the Dean regarding various tasks, including making independent judgments and decisions, and serving as the lead representative on special projects and events. Responsibilities include: serve as the lead planner and point person for strategic initiatives and projects for the Dean and the Dean’s Office; coordinate the work and relationships with the SOE National Advisory Council; assist in preparing agendas and keeping minutes for Dean’s Council meetings, faculty meetings, NAC meetings, and other meetings as needed; participate as a team member of the Dean’s Office to provide support and office coverage; greet and assist visitors in a courteous and helpful manner in the Dean’s Office; answer telephone calls for the SOE and take messages as needed; review and prepare travel and other reimbursements for the Dean; prepare and maintain the annual SOE calendar; maintain a daily appointment calendar for the Dean and coordinate travel arrangements, meetings, and other applicable engagements; assist and support the Dean with any initiatives deemed necessary; design and implement strategic projects aligned with key improvement strategies for the SOE; manage and code P-card purchases for Dean. - (Essential)

15% - Plan, host, and manage related events and conferences for off-campus cohorts and the SOE as needed. Responsibilities include: serve as the Collier-Scripps Building Manager, attending monthly meetings with Facilities, notifying personnel of any events/construction work, submitting maintenance requests for moving or broken items in building; coordinate and control room reservations for Collier-Scripps; coordinate and control guest parking permits for visitor parking; serve as the lead on event and conference planning for the Drake SOE; serve as the primary contact for outside groups (and attendees if necessary); help with room reservation, tours, and technology capabilities with Facilities and Budget Manager; work with Sodexo and outside groups for catering; help with registration details if needed; help with recruitment and communication of attendees/planning committee if necessary; be available on the day of the conference for emergencies; manage budget and work with the budget manager on necessary documents from anyone receiving payment; mange inventory and order supplies, textbooks, and any other items if sponsored by Drake SOE; plan curriculum, speakers if necessary. - (Essential)

This is a full-time, hourly position. The final offered hourly rate will be competitive and commensurate with the experiences of the selected candidate.
