Job Description

TheIowa Department of Public Healthis looking to fill a Secretary 1 to assist the state.

The Iowa Board of Medicine is the state agency responsible for licensing and regulating physicians, acupuncturists and genetic counselors. The Board licenses, disciplines, monitors and educates its licensees to assure their fitness and competence to practice medicine in Iowa. This is a permanent, full-time position located in Des Moines, Iowa.

The successful applicant must pass a background check which may consist of criminal and/or consumer reports.

The Secretary 1 serves under the direction of the Chief Investigator.

Specifically, this position:

Handles administrative support functions:

  • Answers the agency's telephone and forwards calls to the appropriate individual.

  • Answers questions for public who call with questions pertaining to the licensing process and complaint process. Assist individuals who require assistance completing the complaint form.

  • Handles request for information or assistance regarding program operations; applies and interprets rules, policies, and regulations; gathers background information; and prepares appropriate responses for the Executive Director, Legal Director, Medical Director, and Chief Investigator.

  • Greet and direct visitors at the door; inform staff of arrival of visitors. Receives and routes physicians, attorneys, and members of the public for Board meetings.

  • Opens, date stamps, and distributes mail after using database to look up receiving individual.

  • Scans and electronically distributes correspondence. Download and distribute high volumes of medical records and other investigative material.

  • Closes cases as directed after Board meetings and sends out Close, No Action letters customizing the template to fit each set of facts.

  • Scans and bookmarks investigative material in preparation for the Board's review.

  • VeriDoc verifications: VeriDoc is an online medical licensure verification service. VeriDoc Acts as an agent of the state medical or osteopathic board to process its written license verification statements (also known as letters of good standing) to be sent to another state medical or osteopathic board.

  • Opens new investigative cases by setting up files and entering data in database.

  • Prepares and submits reports of Board directives and enforcement actions to the Federation of State Medical Boards and the National Practitioner Data Bank.

    Other requirements:

  • Ensures sensitive and confidential information is handled in a secure manner.

Working Conditions

  • Office environment.

  • Some in-state and out-of-state travel.

  • Some evenings and weekends.

Desired Qualifications and Attributes

  • Must have good verbal and written communication skills, and be able to demonstrate interpersonal and time management skills.

  • Must provide full time service to the Board; any outside activity may not conflict in time or ethics with this position's duties or the Board’s mission.

  • Computer literacy is critical to the successful performance of this position.

Criminal Records Check

Employment is contingent on the outcome of a state and national criminal records check which will include fingerprints (FBI). Any history of criminal activity will be reviewed and could result in the withdrawal of the offer or termination of employment.

Minimum Qualification Requirements

Experience equal to one year of full-time clerical or closely related work;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees withcurrentcontinuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
