TheSecretary 2 will be an integral member of the Bureau of Community Colleges and Postsecondary Readiness, working closely with and supporting the bureau chief, section chiefs and consultants. This position will support in particular the work of the Bureau’s Operating While Intoxicated (OWI) educational program and the work of the state’s community colleges and educator preparation programs.

Your Responsibilities:

Provide administrative support for two chiefs, administrative consultants and education program consultants in the Bureau of Community Colleges and Postsecondary Readiness:

  • Receive/screen telephone calls from OWI clients as well as from the general public with questions related to community colleges; answers routine questions about bureau programs and route calls and emails to the appropriate consultant for additional information as necessary.

  • Type/proof bureau correspondence and reports such as grant award letters, accreditation letters and educational outcome reports for accuracy, grammar, spelling, and sentence structure.

  • Coordinate printing requests with contractors/DAS and prepares for distribution/mailing.

  • Schedule meetings, prepares space for attendees and takes minutes for meetings hosted by the bureau. Prepares and distributes minutes to meeting attendees for groups such as the bureau's accreditation advisory committee, community college advisory committee, and other community college work alike groups.

  • Monitor and order supplies and/or equipment, preparing purchase orders and routing invoices, when necessary.

  • Assist staff with general software functionality and Work Day support, when requested, such as Microsoft Office suites and other Google-based systems.

Provide direct support for all Operating While Intoxicated (OWI) clients.

  • Serve as a point of contact for all OWI education and evaluation issues relating to OWI offenses. Receive and process requests via telephone, email, and fax for assistance in complying with regulations relating to OWI offenses.

  • Provide information to assist OWI offenders in taking care of requirements relating to OWI infractions. Research educational opportunities in Iowa and other states and, as needed, interpret and apply program requirements to assist offenders in locating required education to comply with Iowa state laws.

  • Establish and manage electronic documentation related to each OWI offender. Correctly document issues relating to documents submitted. Documents must be accurately organize for quick retrieval. Attention to detail is imperative.

  • Process OWI payments and maintain accurate documentation for all monies received through the OWI program.

  • To facilitate OWI client support, maintain current knowledge of OWI legislation and establish/maintain strong working relationships with other agencies and educational providers related to OWI requirements.

  • Establish and maintain strong effective working relationships with staff at the Iowa DOT (Department of Transportation), IDPH (Iowa Department of Public Health), Department of Corrections, and representatives of other states on issues relating to the OWI program.

  • Research applicable rules and regulations to ensure accurate and detailed information is provided to OWI offenders to assist them in satisfying sanctions imposed by the Department of Motor Vehicles.

  • Perform all document reviews, approvals, submissions into the OWI database to maintain current records, and related record keeping and reporting.

Minimum Qualification Requirements

Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees withcurrentcontinuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
