Job Description

This is a non-merit position with the Department of Human Services - Glenwood Resource Center. Candidates must follow the instructions in the "To Apply" section.

Positions in this class are exempt from the screening and referral requirements of the Iowa Department of Administrative Services - Human Resources Enterprise.

The Department of Human Services - Glenwood Resource Center is looking to fill a temporary Typist Advanced to assist the state. Candidate will provide specialized clerical and typing services for various departments:

Type and transcribe written reports, correspondence, forms, etc. with no typographical errors -Operate copy machine, including but not limited to; sort, collate, and staple various documents such as employee handouts, etc. Complete all requests for copying of documents. Update Switchboard manual, telephone listing (under glass) as needed with location of employee, shift, extension changes, etc. Perform data entry and print reports. Including but not limited to: process campus nursing assignments, update internal documents with employee information as new hires start and terminations take place, keep a daily log of all calls that come in and store for future reference.

Process all incoming and outgoing mail via Right Express. Prepare hard copy medical records for transfer to microfilm. Includes pulling out staples and any information that does not belong in the record. Microfilm discharge/death medical records; fill out appropriate forms for mailing of film. Read duplicate film to ensure quality of documents and accuracy. Handle all errors which will result in re-filming an entire roll. Rolodex updated regularly. Update and maintain a current list of all client telephone/visitor restrictions. -Casa house access is monitored at switchboard. Issue keys/check keys back in.

Communicate with Business Office on issues including but not limited to; lost and found items (log and send the items to the business office for storage), money kept in the safe at the SB that is tracked by the business office, and report on CASA keys checked in and out. -Process lunch orders. Provide receptionist services to internal and external customers in a cordial and pleasant manner: Operate phone, place phone in night mode at end of shift and cancel call forwarding at 7:00am. Gather accurate information from callers in order to forward incoming calls to the proper destination.

Operate hill wide paging system/equipment in order to relay messages accurately and timely. -Provide only non-technical and non-confidential information in response to inquiries from visitors or staff using reference sources available at the switchboard. -Schedule RTW interviews and create the interview packets for the supervisor.

Act as the main contact for supervisory staff during emergency or severe weather situations. Maintain appropriate knowledge of rules, regulations, and policies of organization. Accept and complete special assignments and respond to emergency situations as needed. Periodically review GRC Policy and Procedure Manual or "Share Site" and notify the appropriate area of any changes needed.

Contact on call plumber by following current schedule issued 1/2016. Secure the Administration Building daily by locking and unlocking the front doors. Order supplies when needed for the custodian.

Other duties as assigned.

Schedule: Monday - Friday 7am - 3:30pm

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • One year of full-time clerical office or closely related experience and the ability to type at least 40 words per minute.

  • Post-high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis.

  • A total of one year of education and/or full-time experience (as described in number one), where 30 semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes the equivalent of six months of full full-time experience as a Typist.
