Johnston Community School District Administrative Assistant to the Principal in Johnston, Iowa

JOB SUMMARY: Under the general direction of the Building Principal, the Administrative Assistant to Secondary Principal provides administrative support for administration and staff, as well as information and services for students, parents, guardians and the public. Responsible for the efficient management of the secondary school administrative office and supports the safe and effective daily operation of the school building.

QUALIFICATIONS

  • High school diploma or equivalent required, advanced degree preferred

  • Minimum of 2 years public-facing administrative experience

  • Strong aptitude for computer software, database management, and technology applications

  • Previous experience with student information systems preferred

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  • Greets and assists visitors ensuring adherence to security protocols

  • Manages a variety of building communications through multiple systems and platforms

  • Composes administrative correspondence and school and student communications

  • Maintains supplies and ensures all purchases are ordered, received and reconciled according to district policy and procedure

  • Performs various bookkeeping functions such as processing purchase orders and deposits, assisting with department budgets, and managing multiple procurement cards according to district policy and procedure

  • Maintains office equipment and coordinates maintenance and repair

  • Communicates and collaborates with district personnel and departments including enrollment, human resources, finance, nutrition, instructional services, transportation, community education and buildings & grounds

  • Responsible for data entry and compiling reports in student information and online learning systems

  • Manages files of enrolling and transferring students

  • Assists with field trip planning and student transportation needs

  • Manages absence management and time clock systems for staff and substitutes

  • Provides direction and support to substitute staff

  • Assists with coordination of classroom/staff coverage and maintains related documentation

  • Assists principal with calendar, correspondence and confidential staff information

  • Coordinates and attends meetings

  • Maintains club and activity documentation

  • Coordinates school events, staff interviews, student & staff reward systems and special events

  • Facilitates all aspects of student graduation (high school only)

  • Works with educational agencies and external vendors

  • Serves as a liaison between administration, staff, students, support groups and public

  • Serves as back-up to building nurse for basic medical care and medication administration. May assist with communication pertaining to student vaccinations

  • Maintains access badges and keys

  • Completes all required training

OTHER FUNCTIONS

  • Assists in development of standard operating procedures

  • Coordinates, trains and/or assists with the work of office support staff

  • Maintains daily bell system and building signage

  • Assists with safety drills and emergency situations

  • Provides support and assistance to staff and students

  • Participates in professional development related to functions and responsibilities

  • Performs other job-related duties as assigned

KNOWLEDGE, SKILLS & ABILITIES

  • General knowledge of educational services

  • Working knowledge of typical office equipment

  • Intermediate level of technology skills; proficient with Google and Microsoft Suite applications

  • Excellent communications skills, including written, oral and virtual formats

  • Excellent interpersonal, collaboration and customer service skills

  • Excellent record keeping and documentation skills

  • Basic mathematical and accounting skills

  • Ability to manage multiple priorities and tasks with frequent interruptions

  • Ability to work independently, meet deadlines, and problem solve with minimal supervision and direction

  • Ability to adapt to new and changing situations

  • Ability to contribute to creating and maintaining a positive work and office environment

  • Ability to maintain confidentiality in all aspects of the position

  • Ability to maintain accurate records and filing and data systems

  • Ability to communicate, interact and work effectively with people from diverse ethnic and educational backgrounds

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

  • Frequent sitting and moderate standing, walking and climbing

  • Occasional bending, stooping, kneeling, lifting and pushing up to 25 lbs.

  • Requires eye/hand/arm coordination and dexterity of fingers and hands in keyboarding, calculating and fingering and grasping small objects

  • Occasional exposure to irritated/agitated individuals, body fluids and emergency situations

  • Work is performed in an indoor office setting with occasional exposure to outside weather conditions

    TERMS OF EMPLOYMENT

  • 12-month

  • Monday - Friday; 7:00 a.m. - 3:30 p.m.
