Overview:

We are currently hiring for a Administrative Services Specialist to work out of our Marion, IA location. This position provides administrative support for individuals in the assigned work group or location and field personnel.

Responsibilities:

  • Prepares various reports as requested

  • Maintains assigned project(s) calendar(s)

  • Make travel arrangements and hotel bookings

  • Verifies completeness of timecards, then processes and tracks them in accordance with Company procedure

  • Reconciles assigned work group/location credit card statements

  • Processes Tool Box meeting sign-in sheets and other safety-related paperwork

  • Orders office supplies and materials, following the Purchase Order process, for assigned location

  • Processes and records billing information in accordance with Company procedure

  • Processes and files As Builts

  • Manages and updates weekly production reports

  • Facilitates new employee orientation by preparing paperwork packets, processing required documentation, and submitting completed paperwork and documentation in accordance with Company procedure as required.

  • Attains, maintains and follows-up the close out of the assigned work group(s) Purchase Orders

  • Diligently follows all SOX procedures for signing, dating, recording and saving data entry records for audit purposes

  • Other duties as assigned

    Qualifications:

  • High school diploma or general education degree (GED) and 1-3 months of related experience and/or training, or combination of education and experience.

  • Ability to read and understand written and verbal instructions, correspondence and memos.

  • Effective and respectful written and verbal communication.

  • Must be comfortable with communicating both in person and on the phone

  • Problem solver and logical thinker with the ability to apply company policies and procedures to situations to ensure a positive experience of both internal and external company stakeholders.

  • Ability to control essential job functions in a fast paced environment that interacts with both internal and external work crews and customers.

  • Team oriented, keeping the organizational needs at the forefront.

  • Familiarity with Google-based applications such as G-mail, Google docs and sheets.

  • Proficient use of Spreadsheet, Word Processing, Internet, accounting, and database software.

  • Understanding and use of general arithmetic such as addition, subtraction, multiplication, division, units of measure and weight using whole numbers, fractions and decimals.

  • Ability to operate a multi-line phone system and office equipment such as computers, fax and copy machines

  • Proficient data entry skills, including 10 key

  • Ability to work flexible hours and overtime as needed.
