Function:

AdministrativeJob Summary:

The Administrative Assistant - Maintenance role provides administrative support and clerical assistance, timekeeping, data entry, report generation services, and SharePoint site overview for the Maintenance Department. The Administrative Assistant - Maintenance will work in the plants Work Management Information System (WMIS) to update and maintain time entry, maintain accurate hierarchies for plant equipment, and complete work orders. This role will report to the Maintenance Manager but will support multiple team members within the maintenance department.

Job Description:

Job Responsibilities:

  1. Maintain physical and digital filing systems.

  2. Organize schedules, meetings, events, and travel.

  3. Develop collaborative relationships with administrative support team members from various departments.

  4. Provide general administrative duties in support:

  • Organize catering for meetings and events.

  • Participate in safety drills.

  • Record-keeping

  • Order and manage office supply inventories.

  • Sort and distribute incoming mail.

  1. Assist in preparing presentation materials for recurring, meetings and technical conferences.

  2. Provide general support to visitors.

  3. Responsible for setting up new employees and contractors (including entering work order time) in the asset management system.

  4. Updates and posts a weekly overtime report.

  5. Enters time on work orders and closes out work orders completed by the maintenance team and contractors.

  6. Performs audits of contractor's invoices for labor, per diem and travel expenses.

  7. Responsible for turnaround administration and monitoring millions of dollars of contractor labor and expenses.

  8. Assists maintenance staff with software questions and retrieval of information and reports.

  9. Provides support and backup to other administrative functions (specifically the accounts payable function) which includes cross training in other departments as needed.

  10. All other duties as assigned.

Successful incumbents will have:

Ability to complete work duties and tasks safely.

Minimum of high school education or equivalent. Two years of college preferred.

  1. A minimum of one (1) year of experience as an administrative assistant required.

  2. Proficient in Microsoft Office Suite.

  3. Excellent organizational, time management and communication skills including communicating with all levels of team members, especially during difficult and challenging situations.

  4. Ability to prioritize work.

  5. Self-motivated and capacity to work independently.

  6. Excellent telephone, listening, verbal and written communication skills.

  7. Ability to maintain a high degree of professionalism and confidentiality.

  8. Strong level of attention to detail and thoroughness in completing work tasks.

  9. Analytic l thinking and problem-solving skills.

  10. Capable of working for and taking direction from multiple individuals.
