AdministrativeJob Summary:

This newly designed position provides support to various Teams in a growing organization affording a unique opportunity for someone interested in a challenge that could be very rewarding. The Team Member in this role will provide support for multiple departments including but not limited to Human Resources, Engineering, Information Technology and Procurement. This position also provides backup support to other departments and teams when necessary. The person in this position will need to have good interpersonal skills to form meaningful professional relationships with colleagues.

Job Description:

Job Responsibilities:

1.

Responds to emails and assists managers with correspondence.

2.

Schedules and coordinates logistics for onsite and offsite meetings and events including identifying meeting locations, creating meeting materials for distribution, and scheduling and cancelling meetings and appointments as required.

3.

Maintains physical and digital filing systems for the different departments as needed.

4.

Manages catering for onsite meetings, events, and interviews.

This includes identifying and communicating with caterers, setting up the catering upon arrival and ensuring the appropriate paper supplies are available.

5.

Assists team members with booking airline tickets, hotels, rental cars and other travel arrangements by coordinating with the company's travel agency.

6.

Sorts and distributes incoming mail to the appropriate site personnel.

7.

Orders and manages the office supply inventory.

8.

Assists Managers in preparing presentation materials for meetings.

9.

Helps to organize plant onsite tours by notifying personnel who are needed to give tours or meet with visitors.

This includes blocking calendars and gathering the appropriate PPE.

10.

Assists Human Resources with candidates who are coming onsite to interview by creating an interview agenda, blocking calendars, and organizing catering if needed.

This also includes communicating with the HR recruiter as well recruiting firms as needed.

11.

Assists the departments with recognition programs including the site service award recognition program.

12.

Collaborates with other administrative support team members within the organization.

13.

Anticipates the needs of the managerial staff.

14.

Provides backup support to other departments and teams when necessary.

15.

Provides support for visitors as needed.

16.

Other duties as assigned.

Successful incumbents will have:

1.

Minimum of high school education or equivalent. An associate degree is preferred.

2.

A minimum of one (1) year of experience as an administrative assistant required.

3.

Capable of maintaining a high degree of professionalism and confidentiality.

4.

Ability to complete work duties and tasks safely w ile multitasking and prioritizing work.

5.

Proficient in Microsoft Office Suite with strong skills.

6.

Excellent organizational, time management and communication skills including communication with all levels of the organization.

7.

Strong prioritization skills and the ability to be self-motivated and work independently.

8.

Excellent telephone, listening, verbal and written communication skills.

9.

Strong level of attention to detail and thoroughness in completing work tasks.

10.

Must be an analytical thinker and have good problem-solving skills.

11.

Requires frequent multitasking and the ability to prioritize while working on different projects for different departments simultaneously.
